Stay Listing Terms
Version 2026-10-27 ยท the rules for listing a hotel, homestay, service apartment, houseboat, villa or vacation rental on Kerala Property Finder ("KPF"). These Terms form part of the Host Agreement. If the two conflict, the Host Agreement prevails.
1. Who may list
1.1 You may list a stay only if you are at least 18 years old, are the owner, lawful lessee or authorised manager of the property, and are registered and logged in as a KPF user.
1.2 You must hold every licence and registration the law requires for the kind of stay and services you offer, and keep them valid. Where you hold a Kerala Tourism or similar registration, enter its number accurately.
1.3 One property may be listed once. Do not create duplicate listings of the same property or list properties you do not control.
2. Accurate listing information
2.1 Everything in your listing must be true and current: type of stay, location, price, number of guests, rooms, amenities, services, check-in and check-out times, minimum stay and house rules.
2.2 Give the real location and a usable address. Do not use a misleading locality to appear closer to a tourist place, beach or backwater than you are.
2.3 Describe services (food, laundry, housekeeping, transport) as included or extra, and state the charges for extras in the services note. Do not add charges that were not shown to the guest before booking.
2.4 Listings are written in English. Do not put phone numbers, email addresses, website links or offers to book outside KPF in the title, description or photos.
3. Photos and content
3.1 Upload only photographs that you took or have the right to use, that show the actual property as it is today, and that do not show other people without their consent.
3.2 Do not use stock images, images of other properties, or heavily edited images that mislead a guest.
3.3 You give KPF a free, non-exclusive right to display, resize, watermark and promote your photos and listing text on the site, in social media posts, posters and advertisements for the stay, for as long as the listing is live.
3.4 The host photo must be a real, clear photo of the host.
4. Pricing and rates
4.1 The rate you enter is the price per night for the stated number of guests. Taxes (including GST where applicable) and any extras must be explained to the guest before you confirm a booking.
4.2 When you confirm a booking, the nightly rate at that moment is fixed for that booking on My Bookings. Changing your rate later does not change confirmed bookings, and you must honour the confirmed rate.
4.3 KPF does not take payment for stays and charges no commission. Deposits and payments are agreed directly with the guest. Give the guest a written receipt for any money you take.
5. Availability and booking requests
5.1 Keep your availability calendar up to date. Block dates when the property is unavailable, including bookings made through other platforms.
5.2 Reply to booking requests and guest messages promptly. Confirm only dates you can honour. Do not confirm a booking and then cancel it to take a higher-paying guest.
5.3 If you must cancel a confirmed booking, tell the guest immediately, refund in full everything the guest paid, and use the cancel option so the guest is notified and the dates are freed.
5.4 A booking request is not a contract until you confirm it. After you confirm, the booking is a contract between you and the guest.
6. Your own cancellation and privacy policies
6.1 You may publish your own cancellation policy and your own privacy policy for guests in your listing. They are shown on your stay page under "Host's policies".
6.2 They must be written by you or for you, be clear and fair, and comply with Indian law, including consumer protection law. They must not be misleading, hide charges or take away rights a guest has by law.
6.3 They must not conflict with the Host Agreement, these Terms or the Guest Terms. If they do, the KPF terms prevail to the extent of the conflict.
6.4 Your policies are your own statements. KPF does not draft, review, approve or guarantee them, and is not responsible for them or for disputes about them. KPF may remove any policy text that is unlawful, misleading or abusive.
6.5 If you do not publish a cancellation policy, guests are told to ask you before they book. A policy you publish must be applied to all guests in the same way, and must not be changed for a booking that is already confirmed.
6.6 The ready-made cancellation policies (Flexible, Moderate, Strict, Non-refundable) are templates only. You are responsible for choosing and editing one that suits your property.
7. Guest data and privacy
7.1 When a guest sends a request, you receive their name, email and phone number only to deal with that booking. You must not use them for marketing, share or sell them, or add the guest to lists without consent.
7.2 You must keep guest data secure, collect only what you need (including identity details you must record by law, such as police or foreigner registration), keep it only as long as needed or required by law, and delete it afterwards.
7.3 You are responsible for complying with the Digital Personal Data Protection Act, 2023 and other applicable data protection law for guest data you hold.
7.4 Do not photograph or record guests, or install cameras in private areas such as bedrooms and bathrooms. Disclose any CCTV in common areas in your listing.
8. Reviews
8.1 Reviews can be written only by guests whose booking you confirmed and who have completed their stay. You may reply once to each review, politely and truthfully.
8.2 Do not write fake reviews for your own stay or for a competitor, offer anything in exchange for a review, or pressure a guest to change or remove one.
8.3 KPF may hide or delete reviews that break the law or our rules. It will not remove a review only because it is critical.
9. Verification
9.1 Verification is optional. If you apply, you must give genuine documents that belong to you. Giving false or forged documents will lead to removal and may be reported to the authorities.
9.2 The Verified badge is removed if your location changes, your documents expire, or a substantiated complaint shows you no longer meet the requirements.
10. Not allowed
You must not list a stay that is illegal, unsafe or unfit to stay in; operate an unlicensed business that requires a licence; discriminate against guests on grounds the law forbids; list a stay for sexual or other unlawful purposes; or use KPF to harvest guest data, send spam or mislead guests.
11. Review and removal of listings
11.1 New and edited listings are reviewed by our team before they appear on the site. We may reject a listing, ask for changes, or remove or hide a listing at any time if it breaks these Terms or the law, or on a substantiated guest complaint.
11.2 Editing a live listing sends it back for review. Changing the location of a Verified stay removes the badge.
11.3 You may take down your listing at any time, but you must honour bookings you have already confirmed.
12. Fees and changes
Listing is free today. KPF may introduce fees or additional services in future, with prior notice to hosts, and no new fee will apply to a listing without the host's chance to take it down first. KPF may update these Terms by notice on the site; hosts will be asked to accept a materially changed version when they next edit a listing.
